To Share your WBS with others

Step 1

To share your WBS with others, the first thing you need to make sure that you have already open 2 files to transfer. In this example we are trying to transfer field from project 2 to project 5. Then, you need to go to Tools and select Organizer.

Step 3

Next, you need to choose the Field tab and then select WBS to import into Project 2.

The screen layout below shows the result of WBS that has been imported.

Step 1

To setup a custom WBS, all a user need to do is to go to Project and then choose WBS. After that, you need to click Define Code.

Later, new window will popup as shown below.

Then, we will set project prefix to Sys. And later, define a 2 level automatic numbering for our project.

Now, you have to click Ok to continue. After that, switch back to Gantt chart view and insert our WBS Column there. When you have entered our task, WBS will be automatically updated as shown below.

To see how WBS helps in management and tracking of cost, just go to Gantt Chart view and then enter the column Cost there.

WBS allows better organization of task and allows us to roughly estimate the cost for a particular task. The screen below shows a breakdown of the cost.

To setup email for your resources, first, you need to go to Resource Sheet. Then, you need to double click on your system resources and a new window will appear as shown below.

To create a custom outline, the first thing you need to do is to go to Tools and then choose Customize. After that, you need to select Field option.

Later, you need to click on rename and rename Outline Code1 to My new outline. After that, click on Define Outline Code.

For level 1, you need to choose numbers and then for level 2 choose characters and finally level 3, choose Numbers. Next, you ought to click Ok when you have done.

To share a common element from 2 projects file, you need to open 2 of the projects file so that it will allow you to transfer these common elements.

For this example, we will import CustomCost from Project5 to project2. You have to go to Tools and click on Organizer. Later, you need to select the Field tab.

Then under the section Custom Field available I, you need to and set it to Project5. Later, you have to click on Copy and then close it.

Next, you will see that CustomCost will be available in Project2.

To setup the priority for a task, switch to Gantt chart, and then double click on your task. Under the general tab, choose Priority and then set it to a value for example "750". The maximum number for priority is 1000.

What can a resource graph do for me?

A resource graph gives a graphical view of the allocation of resources of whether the allocation of resources is over allocated or not. Therefore we can perform adjustment to our resources to cater for the maladjustment done by us.

To calculate a cost for this project, we need to go to Task Usage. And then we will add a new Cost column so that we will be able to see the cost of a project.

To add a new column, right click on our Duration column and then when the popup menu is up, choose Insert Column.

To setup cost for a significant date, this is what we can do. First you need to go to Resource Sheet and then double click on our resources. Next, you need to double click on System Analyst and this is where we are going to set our charges differently.

Next, you need to set the effective date to Friday 22 March 2002 and the rate will be $100. After that, just click on Ok.

To setup resources for its cost that involved we need to switch to Resource Sheet and then double click on our resources. In this case we have to setup System Analyst as our resources. Now we are trying to tie a cost to it.

Then we need to setup the started rate at which the cost applies and the overtime cost and if it varies, it can be setup here.

We need to enter the standard rate as $25 and click Ok when you have done.
